Recall Settings Overview


The recall settings page allows you to set how recall dates get calculated, how recalls sync together (to save appointments) and allows you to set how you would like to automate your recalls.

Recall Settings Page Overview

Each Disease being monitored by your surgery will be displayed here. Each Disease has a number of settings which can be updated, depending on how you would like to monitor them:

  • Repeat (months): This allows you to set how frequently (in months) you would like to review your patients who have that condition.
  • Time Period (months): This allows you to set over how long a recall should occur. For example selecting "THREE", will mean that a recalls start date will start three months before the end date / deadline. This will give you three months to carry out the recall. Selecting "ONE", will mean that a recalls start date will start one month before the end date / deadline. This will give you one month to carry out the recall.
  • Parameters: This allows you to select one or more parameters which you would like to monitor for a Disease. For example, you may wish to monitor "U&Es".
  • SYNC / NO SYNC: Selecting "SYNC" for a Disease means that if a patient has another Disease on their profile which also has "SYNC" selected, then these recalls will get synced into one recall. Selecting "NO SYNC" for a disease will mean that the recall will not get synced together with other Disease recalls.
  • Automate: Checking the Automate checkbox means that BookYourGP will automate recalling this disease register. You can learn more about automation here: Automating Recalls.
  • #Recalls/Day: When you have selected a disease register to automate, you can set how many recalls per disease register to send every day. For example if you set "5", then 5 patients for that disease register will get contacted a day. It will contact the most overdue recall first

Once you have updated your settings click "SAVE" at the bottom of the page to save your settings

Example 1

Let's have a look at the settings for the Asthma register.

Here we can see that patients who are on the Asthma Register for your surgery will get recalled TWELVE months after their last ASTHMA RV. The recall will have a start date THREE months before the deadline, giving the surgery three months to do the recall. As "SYNC" has been selected, the recall will get synced with any other Disease which may be on a patients profile, which has also been set as SYNC. The Disease which has the earlier end date will be the recall date.

For example, Mr John Smith had an Asthma review in March 2022. As we have selected a repeat value of TWELVE months, this means that the recall will have a deadline of March 2023. As we have set a time period of THREE months, the recall will have a start date of January 2023.

If for example Mr John Smith also has another Disease on his profile (for example Hypertension) and if Hypertension also has SYNC selected, but has an earlier deadline (for example Dec 2022), then Mr Smith's Asthma recall will get synced with his Hypertension deadline, so that both his Hypertension and Asthma reviews can be done in one appointment.

The automate checkbox has not been ticked, therefore this disease register will not get automated.

Example 2

In this example we can see that patients who are on the Methotrexate register will get contacted every THREE months after their last U&Es blood test. The time period is ONE month, meaning that the recall will begin one month prior to the deadline / end date of the recall. As "NO SYNC" has been selected this recall will not get synced with any other recall on the patient's profile.

The surgery has checked the Automate checkbox and set that "5" patients should be contacted per day.
